- Welcome: “Well hey there, welcome to Central today, and thanks so much for spending part of your weekend with us. My name’s Brady, I’m your host, and we’re gonna get things kicked off here in just a moment with the band coming out to lead us in a few songs. The lyrics will be up on the screens so you can sing along and engage in worship however you feel comfortable. After that, one of our pastors will come out to share a great message. And all in all we’ll be here for just about an hour. If you have kids with you, we wanna let you know that we’ve got fantastic kids programming happening throughout the entire service. It’s safe, it’s secure, and most importantly your kids are gonna have a blast. There’s still time to check them in; just head to the big orange wall in the lobby and you can check your kids in there. With all that being said, we’re gonna kick things off here in just a minute. Find your seats if you haven’t already, and we’ll get started shortly.”
- New Visitors: “If you’re new with us today, we want you to feel at home and know that this is a safe place—and we’re so glad to have you here. For us, church is so much more than just a Sunday service, and we want you to know that there’s a place perfect for you at Central. One of the best ways you can get connected with us is to fill out the blue card in the seat back in front of you. Take that card out sometime during the worship experience and fill out as much information as you feel comfortable sharing. And then, after the service, take that card to the big blue wall in the lobby and we’ll put a small gift in your hands. Just a small token of our appreciation for you being here. And that’s it! Later this week one of our pastors will connect with you. And once again, thanks for being here.
- Give: “At this time, I want to invite the hosts to come forward as we give. If you are new with us, don’t feel any obligation to give whatsoever. We’re just so glad you’re here. If you did come prepared to give, there are a number of different ways you can do that. You can place your gift directly in the basket as it comes down your row, you can give via debit or credit card at the big blue wall in the lobby, or you can also give online.”

Alex Mills: Well hey there and welcome to Pro Church Daily, the show where in 10 minutes or less you’ll get your daily dose of tips and tactics to help your church share the message of Jesus while we navigate the biggest communication shift we’ve seen in the last 500 years. I’m your host Alex Mills. I’m joined as always by the boss man, it’s Brady Shearer. Today we’re talking about three copy and paste church announcement scripts.
Brady Shearer: One of the roles that I serve Alex at my church is on stage host.
Alex Mills: Yup.
Brady Shearer: We’re a bigger church, at least in Canada, a couple thousand people. We’ve got three services on a Sunday. The on stage host has a lot of different responsibilities: welcome people, got to do the giving, the connect card, new visitors, transitions within service. So what I’ve developed, especially because you do a run through before hand and then three services, so every time you’re on as a volunteer you’re doing four services, through that time I’ve developed announcement scripts that I’ve found has worked exceptionally well. I use them again and again. Today I want to share three of them with the listeners and viewers of Pro Church Daily.
Alex Mills: Awesome.
Brady Shearer: The first one is my welcome announcement script. The way that we do it is I’m actually on stage twice in each service. We do our worship, and then I come on as the on stage host to transition out of worship, do the giving, do the welcome, and then we transition into the message. That’s the main portion of my duties as an on stage host, but during our five minute countdown before our worship experience begins, I come out onto stage with two minutes left and I do a brief intro. I say hey welcome, come on in. This pertains to that script. This is exactly what I say two minutes sits on the countdown, Brady walks out onto stage, and I say this. Feel free, listeners and viewers of Pro Church Daily, to rip this off completely, word for word. You have my permission.
Here we go. “Well hey there. Welcome to Central Today, and thanks so much for spending part of your weekend with us. My name is Brady. A couple things to take note of with this script. It’s all about setting expectations, especially for new visitors.
Alex Mills: Yeah I noticed that.
Brady Shearer: If you come in week after week to Central, you know about checking your kids in. You know about the band coming out. You know about the lyrics come up on the screen.
Alex Mills: Right.
Brady Shearer: But if you are a new visitor to a church, a lot of those things shouldn’t be taken for granted because they’re unfamiliar. People don’t know what’s about to happen. It’s a little bit scary. There’s a lot of stuff happening. How are you supposed to act? What’s going to happen? How long are we going to be here? The way that you set expectations is so important. Even if you’re a smaller church, I always say this, you never know when it’s someone’s first time at church. If you have a lot of new visitors coming in, you could say it differently. It’s always somebody’s first time at church. You never want to take that for granted. If you’re able to foster a culture at your church where it’s okay to say these things again and again because your church is just so used to having new visitors, that’s a great place to be as well.
But I mean all the places where I set expectations here is like okay we’re going to get things started here. Obviously the countdown indicates that, but we’re starting soon. We’re going to sing songs. There’s going to be lyrics on the screen. You can stand. You can engage however you feel. If you want to raise your hands, if you want to wave a flag, if you want to blow the show far, I mean we might tackle you, but you could engage however you want.
Alex Mills: You could try at least.
Brady Shearer: What happens after the songs? One of our pastors is going to be out. He’s going to share a message. Altogether you can expect to be here for about an hour. If it’s 9:00 now, we’re going to finish up around 10:00. Set an end time. People have an estimation of what to expect. If you have kids, here’s what you can do with them. Where do I go with my kids? Head to the big orange wall in the lobby. There’s a reason we don’t call it the connect desk or the welcome desk. There’s a giant orange wall. You cannot miss it. Go there with your kids.
Alex Mills: Easy.
Brady Shearer: Let’s move to the next script. This is the script I especially use for new visitors. I want them to fill out the connect card. I’ve set expectations for them. Now this is after the message, sorry after the worship, before the message begins. That in between time, that transition period. I want you to fill out the connect card. It was hard enough getting you to church, I want to make sure that we have your information and we can follow up with you after. You don’t just disappear, never to be heard from, never to be seen again.
Alex Mills: Right.
Brady Shearer: This script goes as follows. “If you’re new with us today, we want you to feel at home and know that this is a safe place. We’re so glad to have you here. For us, church is so much more than just a Sunday service. We want you to know that there’s a place perfect for you at Central. One of the best ways that you can get connected with us is to fill out the blue card in the seat back in front of you. Take that card out sometime during the worship experience, fill in as much information as you feel comfortable sharing, and then after the experience take that card to the big blue wall in the lobby and we’ll put a small gift in your hands. Just a small token of our appreciation for you being here. That’s it. Later this week one of our pastors will connect with you. Once again, thanks for being here.”
You’ll notice the beginning of this script I’m basically just pampering and flattering a new visitor. Look, this is a safe place, we’re so glad you’re here, thanks so much, you’re awesome, there’s a place here that’s perfect for you because I know that I’m about to ask them for their information right, and that’s a difficult ask. Saying fill out this card with your name, your email, if you want your phone number, your address. That’s sensitive information that I don’t take for granted. That’s difficult to give, especially when you’re at a place for the very first time, so I like to start with a little flattery, little complements, we’re glad you’re here, you fit in perfectly, we’ve got a place for you. Give us your information, and then even from there we offer a free gift. Fill that out and then we’re going to put a gift in your hands as our token of appreciation.
Then again, go to the big blue wall in the lobby. Don’t go to the connect desk. Don’t go to the welcome desk. Go to the giant blue wall. It’s unmissable. I don’t want you to feel awkward with this card in your hand looking around the lobby. It’s busy and you’re like where do I go. Ah it’s just not worth it, I’m just not going to go. There’s a giant blue wall. You can’t miss it.
Alex Mills: Nope.
Brady Shearer: It’s easy to find. Then from there I set the expectation again. What’s going to happen if I submit my information to this church? One of our pastors is going to connect with you this week. On the card we have a way of saying how do you prefer to be connected with, phone, email, whatever.
Alex Mills: Awesome.
Brady Shearer: Final script, this one’s for giving. Here it goes. “At this time, I want to invite the hosts to come forward as we give. If you’re new with us, don’t feel any obligation to give whatsoever. We’re just so glad you’re here. If you did come prepared to give, there are a number of different ways you can do that. Three important things here. The first, if you are new don’t feel obligated to give. Before I even jump into the ways that you can give, before I jump into saying hey we’re going to do giving now, it’s like hey if you’re new do not feel obligated to give. Sometimes I’ll say your gift of being here is enough for us. Do not take out your wallet, do not feel obligated. Then I go into if you did come prepared to give, and I even say that purposefully. It’s not like if you’re part of the regular Central family, if you’re part of … I just say if you came prepared to give because a lot of people don’t give in service. When I started attending Central, I kind of would feel awkward sometimes because they hand a basket down the row, and I wouldn’t put anything in because I don’t have paper money.
Alex Mills: Well that’s the thing. The only time I go to the bank is when I, and this is not a joke, the only time I go to the bank is when I have to go get cash to give at church because we don’t have online giving.
Brady Shearer: There you go. We talked about the different, hey if you came prepared to give, because a lot of people give online, so maybe you didn’t come prepared to give because you did it already or you’ve set up recurring giving. So that’s very purposeful wording as well. It kind of just makes everyone aware, like a lot of people don’t give in this way, so don’t judge then. Hopefully that makes it easier for the people that give online. Then finally where and how to give, three different ways. Basket down the row, big blue wall in the lobby with credit or debit, or online as well.
Alex Mills: Awesome.
Brady Shearer: So those are the three scripts, probably the ones that are most important to my hosting duties week in and week out. Feel free to copy and paste them, steal them, rip them off, use them in your own church context.
Alex Mills: Absolutely. These are super helpful. I’m really thankful that you’re giving these away to people and letting them know how you do it. I think that the way you host, and the way you’ve formulated these scripts, like you said with such intentionality, is just really really well done.
